Privacy Policy — Stock Mobile App
This Privacy Policy explains how [Your Company Name] ("we", "us", or "our") collects, uses, and protects information when you use the Stock Mobile App (the "App"). The App is a business tool designed for inventory and stock management, point of sale (POS) operations, and related back-office functions.
By installing or using the App, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the App.
1. Who Controls Your Data
For the purposes of this Policy, the primary controller of data processed through the App is:
UPSILON
Email: [email protected]
2. Types of Data We Process
The App is primarily intended for use by businesses. The categories of data that may be processed include:
- Inventory and product data — item names, barcodes, prices, quantities, stock levels, expiry dates, shrinkage and adjustments.
- Sales and invoice data — invoices, line items, totals, discounts, taxes, and related POS transaction information.
- Business partner data — clients and suppliers, including names, contact details and any other reference information you choose to store in the App.
- Financial and cashbox data — expenses, cash movements, payment amounts and other financial records managed through the App.
- Device and technical data — a technical device identifier for licensing and sync, device operating system and version, basic diagnostics and error logs.
- Usage and configuration data — language preferences, permissions configuration, and settings that control which features and screens are available to users.
The App does not include built-in user account registration or social features. Any personal data about your end customers or staff that appears in the App is entered and controlled by your business.
3. How Data Is Collected
- Data you or your staff enter — information is entered directly into the App by you or users you authorize (e.g., products, clients, suppliers, invoices, expenses).
- Barcode and camera input — the App uses the device camera for barcode scanning to identify products and update stock. Camera images are processed on the device for scanning and are not stored as photos by the App.
- Bluetooth connections — the App can connect to Bluetooth receipt printers to print invoices and reports. Information transmitted is limited to what is needed to print.
-
Synchronization with backend services — if enabled and configured, the App can
synchronize data with a backend service (for example, via
https://api.upsilonlb.com/) using API keys that you manage.
4. How We Use the Data
We process data in order to:
- Provide the core App functionality (inventory, POS, cashbox, reporting and related features).
- Maintain and synchronize data between your devices and any configured backend services.
- Secure and manage access to features based on permissions.
- Diagnose errors, improve stability, and enhance the App over time.
- Send local or push notifications about important App-related events, where you choose to enable them.
5. Legal Bases (Where Applicable)
Where data protection laws (such as the EU/UK GDPR) apply, we rely on the following legal bases for processing, as appropriate:
- Performance of a contract — to provide the App and its business functions to you according to our agreement.
- Legitimate interests — to ensure the security, maintenance and improvement of the App, provided such interests are not overridden by the rights of individuals.
- Compliance with legal obligations — to meet record-keeping, tax or other legal requirements where applicable.
6. Local Storage and Databases
The App uses a local database on your device (via SQLite) to store business data such as inventory, invoices, clients, suppliers, cashbox records, and configuration settings. This data is stored directly on the device you control.
You are responsible for securing access to devices where the App is installed and for implementing any additional safeguards required by your internal policies or applicable laws.
7. Synchronization and Remote Services
The App can optionally synchronize data with remote backend services using API keys you configure. When sync is enabled, the following types of data may be transmitted:
- Inventory and product data.
- Sales, invoice and cashbox information.
- Client and supplier details.
- Permissions and configuration data needed to control access to features.
The exact scope of data synchronized depends on how your backend is implemented and configured. If you use a third-party or self-hosted backend, you are the controller of that environment and should ensure it has its own appropriate privacy and security measures.
8. Camera, Bluetooth and Notifications
Camera
The App uses the camera to scan product barcodes for inventory and stock management. Camera access is only requested when you use barcode-related features. Images are used momentarily to decode barcodes and are not stored by the App.
Bluetooth
The App uses Bluetooth to discover and connect to receipt printers so you can print invoices and reports. Bluetooth access is used solely for this purpose. Printer identifiers may be stored on the device so the App can reconnect more easily in future sessions.
Notifications
The App can use local and/or push notifications to display important updates about your business activity (for example, alerts, reminders or system messages). You can control notification settings at the device level and, where available, within the App.
9. Data Sharing and Transfers
We do not sell your data. We may share data only in the following circumstances:
- Service providers — with third-party providers that help us operate and support the App (such as hosting, error monitoring or push notification services), subject to appropriate contractual protections.
- Legal requirements — if required to do so by law or in response to valid requests by public authorities.
- Business transfers — in connection with a merger, acquisition or sale of assets, subject to appropriate safeguards.
Where data is transferred internationally, we take steps to ensure an adequate level of protection in line with applicable law (for example, by using standard contractual clauses where required).
10. Data Retention
We retain data for as long as it is necessary to provide the App, fulfill the purposes set out in this Policy and comply with legal or accounting obligations. You can remove local data from a device by uninstalling the App and, where applicable, using any in-app data reset tools.
11. Security
We implement reasonable technical and organizational measures designed to protect data processed by the App against unauthorized access, loss, misuse or alteration. However, no system can be completely secure, and we cannot guarantee absolute security.
12. Your Rights
Depending on your location and applicable law, you may have certain rights regarding personal data processed through the App, such as:
- Right to access and obtain a copy of personal data.
- Right to request correction of inaccurate or incomplete data.
- Right to request deletion of personal data, subject to legal obligations.
- Right to object to or restrict certain types of processing.
- Right to data portability in some circumstances.
- Right to lodge a complaint with a data protection authority.
Many of these rights can be exercised directly by you as the business operator, by modifying or deleting data in the App or your backend systems. If you need our assistance, please contact us using the details below.
13. Children’s Privacy
The App is intended for use by businesses and is not directed to children. We do not knowingly collect personal data from children. If you believe that data about a child has been processed through the App in a way that concerns you, please contact us so we can review the situation.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be communicated through appropriate channels. Your continued use of the App after changes are published will constitute your acceptance of the updated Policy.
